An activity is a concrete, time-bound service within a case (session, report writing, etc.) and at the same time the time entry. Activities are the basis of billing.
Record an activity
-
Open a case and add an activity via the activities subpage (capability Add Activity).
-
Choose the service type (Item No.) and the performing party.
-
Record the times in three tiers: Planned, Actual, and Billed.
The three time tiers
Each tier consists of date, start time, end time, and duration (hours):
|
Tier |
Purpose |
|---|---|
|
Planned |
Scheduling and planning. |
|
Actual |
The effort actually delivered (basis for evaluation and internal cost). |
|
Billed |
The duration to be billed (basis for invoice generation). |
Duration calculation
Within a tier, start, end, and duration are completed automatically:
-
Start and end set, duration empty → duration = end − start.
-
Start and duration set, end empty → end = start + duration.
-
Manual override is always possible; the fields are independent after manual editing.

Price finding
The price is determined in this order:

Status and approval
Activities move through Draft → Submitted → Approved → Invoiced (or Cancelled). Whether submission/approval is required depends on the role of the performing party (see Approval workflow). Only approved (or otherwise released) activities flow into billing.
Date restrictions
Via the general settings (Allow From/To) – overridable per user – the allowed date range for activity entries can be restricted.
Notes
You can keep notes on each activity, either personal (only for you) or for the team (Activity Note Type).
Evaluation
Actual vs. planned hours per party and period are evaluated by the Consultant Utilisation report; individual activities are listed by the Activity Report (see Role center and reports).
