Activities and time tracking in Ventoo Case Management

An activity is a concrete, time-bound service within a case (session, report writing, etc.) and at the same time the time entry. Activities are the basis of billing.

Record an activity

  1. Open a case and add an activity via the activities subpage (capability Add Activity).

  2. Choose the service type (Item No.) and the performing party.

  3. Record the times in three tiers: Planned, Actual, and Billed.

The three time tiers

Each tier consists of date, start time, end time, and duration (hours):

Tier

Purpose

Planned

Scheduling and planning.

Actual

The effort actually delivered (basis for evaluation and internal cost).

Billed

The duration to be billed (basis for invoice generation).

Duration calculation

Within a tier, start, end, and duration are completed automatically:

  • Start and end set, duration empty → duration = end − start.

  • Start and duration set, end empty → end = start + duration.

  • Manual override is always possible; the fields are independent after manual editing.

Evaluation

Actual vs. planned hours per party and period are evaluated by the Consultant Utilisation report; individual activities are listed by the Activity Report (see Role center and reports).
