Static documents are pre-uploaded files that can be included in document merges through rules. Use them for content that remains the same across many documents, such as terms and conditions, marketing brochures, or compliance certificates.
Open the static documents list
Choose the Search icon (Alt+Q), enter Doc. Merge Static Documents, and then choose the related link.
Alternatively, open the Doc. Merge Setup page and choose the Static Documents action.
Upload a static document

On the Doc. Merge Static Documents page, choose New.

Enter a Code (for example,
TERMS-ENorBROCHURE-2024) and a Description. -
Choose the Import Document action.

Select the file from your computer. Supported file types include PDF.

The File Name and File Extension fields are filled automatically.
Configure validity dates
You can optionally restrict when a static document is included in merges by setting validity dates:

Tip Use validity dates to manage document versions. For example, create TERMS-2025 valid from January 1, 2025, and TERMS-2026 valid from January 1, 2026. The correct version is automatically included based on the document date.
Language support
Use the Language Code field to specify a language for the static document. This allows you to maintain multiple language versions of the same content (for example, TERMS-EN for English and TERMS-DE for German).
Use static documents in rules
To include a static document in your merge composition, create a global rule or partner rule with:

Export a static document
To download a previously uploaded file:

Open the static document card.

Choose the Export Document action.

Save the file to your computer.
