Set up partner rules

Partner rules allow you to override global rules for specific customers or vendors. When partner rules exist for a given partner and document type, they completely replace the global rules for that combination.

Partner rules are Level 2 in the rule hierarchy.

When to use partner rules

Use partner rules when a specific customer or vendor has requirements that differ from your default configuration. Common scenarios include:

  • A customer requires shipment notes to be included with every invoice.

  • A vendor should not receive any attachments beyond the main purchase order.

  • A key customer needs terms and conditions in a specific language.

  • A customer requires the QR-Bill received as a separate document.

Access partner rules

You can access partner rules from two locations:

From the Customer Card

  1. Choose the Search icon (Alt+Q), enter Customers, and then choose the related link.

  2. Open the customer card.

  3. The Document Merge Rules FastTab displays the partner-specific rules.

  1. Choose the Search icon (Alt+Q), enter Vendors, and then choose the related link.

  2. Open the vendor card.

  3. The Document Merge Rules FastTab displays the partner-specific rules.

Create partner rules

Copy from global rules

The fastest way to create partner rules is to copy the existing global rules and then modify them:

  1. On the Customer or Vendor Card, go to the Document Merge Rules FastTab.

  2. Choose the Copy from Global Rules action.

  3. The system copies all active global rules for the relevant document types.

  4. Modify the copied rules as needed.

Create manually

  1. On the Document Merge Rules FastTab, choose the New action.

  2. Fill in the fields. The fields are identical to global rules, with the addition of Partner Type and Partner No. which are set automatically.

Customer-specific settings

In addition to partner rules, the Customer Card includes the following Ventoo Document Merger field:

Attach Invoices to Reminder

Overrides the global Attach Invoices to Reminder setting for this customer. Options: Default (use global setting), Yes (always attach), No (never attach).

Clear partner rules

To remove all partner rules for a customer or vendor:

  1. On the Document Merge Rules FastTab, choose the Clear All Rules action.

  2. Confirm the deletion.

Note Clearing partner rules means the system will revert to using global rules for that partner. Existing document lists for that partner are not affected until they are rebuilt.

View partner rules in full screen

For a more detailed view, choose the Open Full View action on the Document Merge Rules FastTab. This opens the partner rules in a full-screen list page with additional columns and actions.
