Reminder handling

Ventoo Document Merger provides special support for reminders. In addition to standard document merging, it can automatically attach the outstanding invoices referenced in a reminder as PDF files.

Invoice attachment for reminders

When a reminder is issued, Ventoo Document Merger can automatically render each outstanding invoice as a PDF and attach it to the issued reminder as a document attachment. This means when the reminder is later printed or emailed, the invoice PDFs are available for merging.

How it works

  1. A reminder is issued through the standard Business Central Issue process.

  2. Ventoo Document Merger intercepts the OnAfterIssueReminder event.

  3. For each invoice referenced in the reminder lines, the system:

    • Checks if the invoice is not already attached.

    • Renders the invoice using the standard Sales Invoice report.

    • Attaches the rendered PDF as a document attachment to the issued reminder.

  4. When the issued reminder is printed or emailed, the attached invoices are available in the document composition for merging.

Enable invoice attachment

To enable automatic invoice attachment for reminders:

  1. Open the Doc. Merge Setup page.

  2. Set Reminders Active to Yes.

  3. Set Attach Invoices to Reminder to Yes.

Customer-level override

You can override the global setting for individual customers:

  1. Open the Customer Card.

  2. Find the Attach Invoices to Reminder field (added by Ventoo Document Merger).

  3. Set the value:

Tip Use the customer-level override to exclude high-volume customers where attaching many invoices would create excessively large documents.

Standard document merging for reminders

In addition to the invoice attachment feature, reminders support the same document composition as other document types. You can:

  • Add global or partner rules for reminders.

  • Include document attachments, incoming documents, static documents, or BC reports.

  • Review and adjust the composition on the Issued Reminder page.

Note The invoice attachment feature (described above) creates standard document attachments on the issued reminder. These attachments are then picked up by the normal rule-based document discovery process.

Duplicate prevention

Ventoo Document Merger prevents duplicate invoice attachments. If an invoice is already attached to a reminder (for example, from a previous issue), it will not be attached again.
